This Privacy Policy explains how Kotec LLC, trading as Kotec ("Kotec," "we," "us," or "our"), collects, uses, discloses, and protects information in connection with https://www.kotec.co (the "Website").

1. Scope

This Privacy Policy applies to information collected through the Website and through direct communications initiated from the Website. It does not govern information processed under a separate customer, supplier, contractor, employment, or project agreement where a different privacy notice or contractual term applies.

2. Information we collect

Information you provide

Kotec collects information that you choose to provide when you contact us by email or through the website enquiry form. The enquiry form fields are:

  • company name, which is optional;
  • work email address, which is required;
  • phone number, which is optional;
  • country or region, which is required;
  • project stage, which is required;
  • requested discipline or service, which is required; and
  • project description or message, which is required.

The Website does not support file uploads and does not collect a full-name field. Kotec does not intentionally request sensitive personal information through the Website. Do not include passwords, government identification numbers, payment-card information, health information, export-controlled data, trade secrets, or other highly sensitive information in a general website enquiry.

Information collected automatically

When you use the Website, Kotec and its service providers may collect technical and usage information, including:

  • IP address and approximate location derived from it;
  • browser, device, and operating-system information;
  • pages viewed, referral source, date, time, and interaction information;
  • cookie or similar identifier information; and
  • diagnostic, security, and server-log information.

Kotec uses Google Analytics 4 and Microsoft Clarity for website analytics. These optional analytics technologies are disabled by default and load only after you accept optional analytics under Kotec's global consent standard. Microsoft Clarity may provide behavioral metrics, heatmaps, and session-replay features. Contact-form values are never sent to analytics.

3. How we use information

Kotec may use information to:

  • respond to enquiries;
  • discuss potential engineering services;
  • prepare quotations, proposals, or project-support options;
  • maintain business correspondence;
  • operate, secure, troubleshoot, and improve the Website;
  • understand website use and content performance;
  • prevent misuse, fraud, or security incidents;
  • comply with legal obligations; and
  • establish, exercise, or defend legal claims.

Kotec does not currently use website enquiry information to send marketing emails. Kotec does not currently operate a newsletter. If Kotec introduces a newsletter or other marketing communications, it will provide an appropriate notice and unsubscribe mechanism before or at the time of collection.

4. Cookies and analytics choices

The Website uses strictly necessary storage for functions such as remembering your language preference and your privacy choice. This strictly necessary storage is always active. Optional analytics technologies are disabled by default and are not activated unless you accept optional analytics.

You can:

  • accept optional analytics;
  • reject optional analytics without losing access to the Website; and
  • change or withdraw your choice later through the persistent "Manage Cookie Preferences" control in the footer.

5. Service providers

Kotec may use service providers that process information on its behalf, including:

  • DreamHost for website hosting and email services;
  • Google Analytics for website measurement; and
  • Microsoft Clarity for website-use analytics, heatmaps, and session replay.

These providers may process information in the United States and other countries. Their processing is governed by their own terms and privacy documentation and, where applicable, contractual data-protection terms with Kotec.

Kotec does not currently share website enquiries with prospective contractors, engineering partners, or subcontractors. If this practice changes, this Privacy Policy will be updated before such sharing begins.

6. Sale, sharing, and targeted advertising

Kotec does not sell personal information. Kotec does not share personal information for targeted advertising and does not use Google Ads, Microsoft Ads, LinkedIn Insight Tag, or Meta Pixel on the Website.

7. Retention

Kotec retains enquiry and business-correspondence information until it is no longer needed for the enquiry or business relationship, subject to legal, accounting, dispute-resolution, and recordkeeping requirements.

Kotec periodically reviews retained information and securely deletes or anonymizes information that is no longer needed. Analytics and hosting providers may apply their own configured retention periods.

8. Security

Kotec uses reasonable administrative, technical, and organizational measures intended to protect information. No website, email system, or transmission method can be guaranteed to be completely secure. Avoid sending sensitive or confidential information through a general enquiry channel unless Kotec has provided an approved secure method.

9. International processing

The Website is operated from the United States and is intended for visitors in the United States and other countries. Information may be processed in the United States or other jurisdictions where Kotec or its service providers operate. Privacy protections in those jurisdictions may differ from those in your location.

10. Privacy rights

Depending on your location and applicable law, you may have rights relating to access, correction, deletion, restriction, objection, portability, withdrawal of consent, or appeal of certain privacy decisions.

A request may be sent to info@kotec.co. Kotec may need to verify the requester's identity and may decline or limit a request where permitted by law. Kotec will respond according to applicable legal requirements.

11. Children

The Website is not intended for children under 13, and Kotec does not knowingly collect personal information from children under 13 through the Website. A parent or guardian who believes a child has provided information may contact info@kotec.co.

The Website may link to third-party websites or services. Kotec is not responsible for their content, security, or privacy practices. Review the privacy notices of those third parties.

13. Changes to this policy

Kotec may update this Privacy Policy to reflect legal, technical, or business changes. The updated version will be posted on the Website with a revised "Last updated" date. Material changes may be communicated through an additional notice where appropriate.
